Transition into the Civilian Contracting space with ITilityITility is seeking an Executive Assistant to provide program management and executive support services to the HQDA CIO and DCS, G6 Mission Support Division located at the Pentagon, Arlington, VA.

Responsibilities:

The Executive Assistant must be able to exercise informed judgement in a variety of situations, with strong written and verbal communication skills, display the ability to prioritize multiple important tasks simultaneously. The person selected for this role must be able to work independently on assignments and projects, from conception to completion, and work under pressure at times to handle a wide variety of task and confidential matters with discretion.

  • The qualified EA must be able to work with considerable independence, performing, overseeing and/or analyzing the efficiency and effectiveness of customer support operations in the functional areas of organizational change, organizational culture, strategic management planning, information management, special events, and a variety of other administrative functions or assignments as required.
  • The qualified candidate must maintain a professional appearance and display professional behavior at all times.
  • Additional responsibilities include applying a high level of expertise in writing and editing skills to incorporate historical, factual analysis, and prepare talking points, speeches and award presentations. Develops reports, summaries, policies and procedures, and other correspondence that communicates the views, intent, or position on key issues and programs to civilian and Army audience.
  • Apply broad, comprehensive knowledge of functional policies, procedures, and techniques to develop viable programmatic options for satisfying the Directorate/Division's changing requirements.
  • Monitors the execution of major programs requiring inter-staff coordination for successful attainment of the Front Office, Directorate, or Division's objectives.
  • Ensures that high-quality program management plans, reports and reviews are developed, coordinated, and distributed in a timely manner. Initiates action to meet internal and external suspense actions; tracks progress of such actions; and ensures full coordination of replies and organization positions.

Duties include: 

  • Completing a broad variety of administrative tasks: composing and preparing correspondence that is sometimes complex and/or confidential; arranging complex and detailed travel plans, itineraries and agendas within budget; and compiling documents for travel-related meetings.
  • Planning, coordinating and ensuring schedule are followed and respected. Provide “gatekeeper” and “gateway” role, creating win-win situations for direct access to the General Officer (GO) time and office, if needed.
  • Communicate directly, and on behalf of the GO, with Directors, Supervisors, Senior Leadership, and others, on matters related to GO's initiatives.
  • Research, prioritize and follow up on incoming issues and concerns addressed to the GO, including those of a sensitive or confidential nature.
  • Provide a bridge for smooth communication between the GO and internal directorates by working closely with key personnel to maintain credibility, trust and support with Senior Leadership.
  • Work closely and effectively with the GO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the GO updated.
  • Build relationships crucial to the success of the organization, and manage a variety of special projects for the GO, some of which may have an organizational impact.
  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, emails and other tasks that facilitate the GO's ability to effectively lead the workforce.
  • Prioritize conflicting needs; handle matters expeditiously, proactive, and follow-through on projects to successful completion, often with deadline pressures.

Basic Qualifications include:

  • Bachelor degree, and 7 years of experience or an Associates degree in 9 years of experience, or High school diploma and 11 years of experience supporting Senior leaders at the General Officer or Senior Executive Services level.
    • Relevant experience from the military will be considered. 
  • This position requires an Active Top Secret Clearance with SCI Eligibility. 
  • Exceptionally skilled at juggling multiple tasks, allocating and optimizing resources, and managing time-lines.
  • Demonstrated ability to interact effectively and appropriately with senior-level government professionals, department heads, committees, volunteers, and other executive staff. Strong interpersonal skills.
  • Strong working knowledge of MS Office Suite skills, MS Teams, Defense Travel System (DTS) and Task Management System (TMT) and database management experience.
  • Must be available to work on-site daily at the Pentagon or at Fort Belvoir, VA.

Physical Requirements:

  • Physically capable of performing tasks that may require sitting, and standing for extended periods.
  • Must be able to lift 15 – 20 pounds
