Services Confirmation Coordinator – Aviation (Associate Mission Advisor) 

Location: Corporate Headquarters located in Houston, TX (Clear Lake / NASA area)

Schedule: Full Time; Rotating Shift-work in a 24/7/365 environment

Job Summary  

You will collaborate with our extensive internal and external resources to process mission-critical service requests for private aviation operators across the globe. By communicating directly with global vendors and other providers to confirm services, you will build professional relationships and expertise. You will develop skills and knowledge using the company’s proprietary operations system and dashboards. Your exceptional customer service skills will ensure services are professionally arranged in a timely manner in accordance with all applicable policies, procedures, global regulations and client’s expressed preferences. The on-going research and follow-up activities that you conduct with service providers will positively impact the success of our client’s missions and be associated with many history-making occasions, major business developments, global political matters, sporting and entertainment events, and international disaster relief efforts. 

Job Responsibilities  

  1. Enable ground handlers, global vendors, and other service providers to effectively plan and prepare for aircraft arrivals through effective communications of client arrival times and requirements.
  2. Ensure clients possess applicable passport and visa documentation to legally enter countries based on applicable laws, regulations, and best practices.
  3. Collaborate as necessary to verify requirements and upload aircraft documentation to properly request appropriate permits and other authorizations to land in and overfly countries globally.
  4. Review inbound messages from vendors and respond to requests and assign appropriately in proprietary mission support system.  
  5. Monitor Mission Support System to ensure details are accurately captured and all services are acknowledged and confirmed for assigned missions based on applicable timelines, regulations, laws, and client preferences.   

 Requirements   

  • Some college or equivalent military experience  
  • 3+ years of experience; preferably in aviation industry   
  • Experience conducting exhaustive research and agility in searching computer databases
  • General knowledge of global geography and the ability to determine how it relates to time and travel
