Inventory Coordinator

SHIFT: Monday - Friday 9:00 am-5:00 pm MUST be flexible on Sale Days (Tuesday & Thursday-Night Sales)

Summary of the role:
The inventory Coordinator is responsible for managing primarily all offsite vehicles by coordinating administrative tasks such as transport, payment processing, data entry, scheduling, etc. The incumbent will work closely with an assigned team allocated to a specific region and will ensure a seamless support experience by proactively planning needs, updating platforms, and ensuring customers' needs are top priority. The role oversees the lifecycle of the vehicle.

Accountabilities:

  • Manage all offsite units by confirming location, buyers' outreach, transport co-ordination information, all required payments, etc.

  • Act as liaison between buyers and sellers regarding vehicle pick up, payment issued to seller and vehicle release provided to buyer

  • Ensure all booking of units into Simulcast or all Digital platform as needed

  • Evaluate offsite inventory for availability, release records in internal system called AS400, as required

  • Schedule Field Inspectors for offsite inspections as needed to support the assigned region

  • Target buyer outreach

  • Confirm availability and location of vehicle (and title) at the time of purchase

  • Load inventory for dealers (including no sales from the physical auction) onto our digital platform.

  • Review inventory on MUVIT platform to ensure proper pricing, lighting, and visibility on disclosures

  • Supports all Offsite pass - through transactions in collaboration with Dealer Services Representative

  • Assist, if needed, with new dealers logging access

  • Participate in executing sale readiness functions, such as Carfax reporting, lighting, announcements present (digital/Sim).

  • Handles IF bids within the assigned territory

  • Manage our digital MUVIT platform, by escalating all issues or feedback to our technology team, by also reporting any bugs

  • Inventory Scrub/ Reporting: Aged, offsite, MUVIT

  • Answer all incoming Dealer Services phone cue by troubleshooting clients' concerns, access issues or on various tasks such as booking vehicles

  • Support assigned Dealer Services Representative, District Manager & Field Inspectors as needed with various duties including the shared inbox and all administrative tasks

  • Support in team with onsite inventory

  • Build strong relationships with clients and leaderships, to help increase customer satisfaction

  • Work proficiently with our systems such as AS400 and MCOE

Requirements:

  • 2-3 years' experience in an administrative role with customer facing exposure required

  • Ability to handle fast pace environments

  • Dealership Auction experience will be considered an asset

  • Strong ability to build long-lasting relationships

  • Strong ability to learn new systems and comfortable working with digital platforms

  • Ability to work with Microsoft Office (i.e., Excel), intermediary level

  • Multi-tasking, high sense of organization and attention to detail

  • Can work both collaboratively and autonomously

  • Resilient to change is MUST
