Cox Enterprises is hiring an Executive Assistant who will report directly to the Assistant Corporate Secretary and provides administrative and logistical support for the members of the Board of Directors of Cox Enterprises, as well as the office of the Secretary.  This position requires a high degree of confidentiality, tactful diplomacy and the ability to communicate effectively and collaborate with all levels of management, including with the staff of the members of the Board of Directors, the Board members, and the Company’s senior leaders and their staff.  Candidates must have a high degree of attention to detail, as well as the ability to organize and coordinate complex meeting logistics both on-site and off-site, track developments and respond quickly to changes.  The Executive Assistant provides general administrative support to the VP, Governance & Compliance, Assistant Corporate Secretary, 2 other senior leaders within the legal department; and their professional staff.  The individual is to ensure that the team is well represented to all internal and external parties.

POSITION RESPONSIBILITIES

  • Coordinate all logistics for outside members of the Board of Directors in connection with Board meetings (air and ground travel, hotels, management meetings, special requests). 
  • Prepare tactful written communications, messages and correspondence for communication with both internal and external stakeholders, as well as assist the Corporate Secretary and Assistant Corporate Secretary with development of Board meetings schedules. 
  • Perform miscellaneous administrative tasks, including scheduling meetings, preparing letters and memos and managing telephone messages.  This includes organizing meetings and conference calls with Directors and senior management for any additional Board-related matters outside the regularly scheduled full Board meetings. 
  • Answering telephone, screening callers, relaying messages and greeting visitors.
  • Processing of travel expense reporting, incoming and outgoing mail, copying, scanning, printing, filing, and purchasing of office supplies.
  • Calendar management including arranging appointments and meetings; obtaining meeting rooms, meals and travel.
  • Operating office equipment such as photocopier and fax machine, including servicing coordination.
  • Operating computer to access e-mail, electronic calendars, and other basic office support software.
  • Preparing and distributing correspondence, meeting materials and reports as needed, including PowerPoint presentations, Excel spreadsheets and contact database management.
  • Compile and electronically distribute compliance documents to key stakeholders.
  • Process and code departmental invoices within corporate expense system, route to appropriate approvers.
  • Assisting with Invoice review and matter set up on CounselLink, our Legal billing system.
  • Update investor website content and permit or deny access requests.
  • Cheerfully taking on other duties as assigned.


Qualifications:

Minimum

  • High School diploma or equivalent required.
  • Five years’ administrative experience.
  • At least two years’ experience supporting legal professionals.  
  • Friendly, professional and outgoing demeanor with ability to relate to all levels of management and staff.
  • Strong proficiency in all Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint. 
  • Strong written and verbal communication skills.  Attention to detail, accuracy and follow-through are also necessary.
  • Excellent telephone skills with ability to screen calls professionally and efficiently and identify priority calls.
  • Demonstrated ability to work as part of a group and with all levels of department personnel with tact and discretion.
  • Demonstrated ability to positively adapt to a rapidly changing environment.
  • Demonstrated ability to prioritize and complete tasks with ability to work under pressure and meet deadlines.
  • Demonstrated ability to maintain confidentiality.

Preferred

  • College degree preferred.
  • Minimum 5 years related work experience with C-suite executives.
