Job Description:

Investment and Banking Onboarding & Maintenance (IBOM) provides regulatory, compliance, document control, on-boarding, account maintenance support and service for the Global Wealth and Investment Management division. Within IBOM, the Managed Account and Loan Management Account Operations team supports over 2.2 million investment advisory accounts with over $902 billion in client assets.  The position facilitates the account opening/enrollment, maintenance and operational support for the Merrill Lynch Investment Advisory Program and Loan Management Accounts. It supports the Branch Office with Portfolio+, a portfolio management trading platform and provides Home Office and Branch Office training on the Merrill Lynch One platform, product attributes and technology releases.  Reporting to the Managing Director of Investment and Banking Onboarding and Maintenance and working as a key member of his leadership team, the successful candidate will be a strong, decisive, results oriented leader who can develop and manage relationships across the company and with a wide variety of partners based on trust, teamwork and knowledge. The incumbent must have the proven ability to anticipate and provide solutions to complicated problems and be capable of presenting in a clear and compelling manner to executive management.  

Key Responsibilities:

  • Responsible for all financial control initiatives -budget/expense management, reporting and forecasting for operations areas.
  • Responsible for oversight of business strategy and critical objectives, development of organizational communication and management of business administration.  This includes real estate portfolio strategy and execution, employee program development, enterprise-wide metrics and business continuity governance.
  • Identify strategic and functional gaps, opportunities, and solutions across multiple functions and platforms. Consult with senior management to develop strategies to implement changes and improvements.
  • Partner closely with Global Human Resources to coordinate and monitor the delivery of key HR services (e.g. hiring, on-boarding/ off-boarding, training, performance management, promotion, organizational surveys, etc.).
  • Manage coordination of certain projects, associate training, service quality, process improvement, business continuity and communication.
  • Serve as an escalation point to resolve broad and complex operational issues.
  • Provide leadership and guidance to the associate team (direct and matrixed).

Required skills:  

  • 10+ years’ experience in operations functions and a thorough working knowledge of the operational aspects, systems, and applications supporting transactions and products.
  • Prior experience managing a team.
  • Knowledge of Managed Products.
  • Working knowledge of general policies, programs and procedures and financial/accounting practices.
  • Organizational Skills; able to prioritize work in a deadline-intensive environment and resolve issues with a "can-do" attitude and sense of urgency.
  • Team player who is most comfortable working in a fast-paced, dynamic, flexible and collaborative work environment; able to manage multiple projects and deadlines simultaneously.
  • Strong relationship management skills; able to establish and maintain collaborative partnerships.
  • Excellent communication and presentation skills including excellent listening and consultative capabilities, writing skills and the ability to communicate verbally in a direct, succinct manner.

Enterprise Role Overview:

Manages a major segment or multiple smaller units across one or more locations in a GWIM support operations function for one or more product areas for multiple product areas such as funds transfer, collateral mgt/margins, corporate actions, static data/data management, control, trader support, clearance/settlement, documentation/confirmations, customer service, new accounts or client valuations. Functions managed typically have high monetary exposure, regulatory risk and client impact. Decisions have significant impact affecting multiple operations functions, product lines and client relationships. Serves as an escalation point to resolve broad and complex operational issues. Develops and implements procedures to enhance unit productivity, efficiency and manage business change. Responsible for budget/expense management, reporting and forecasting for operations areas managed, compensation decision, talent planning, and performance management at a senior level. This associate may also be responsible for managing initiatives of significant scope and scale. Requires broad business knowledge and expertise in management gained through increasingly more responsible roles in the industry. An associate in this role would often identify strategic and functional gaps, opportunities, and solutions across multiple functions and platforms. Associates at this level are often required to interact with senior management within Operations, the Front Office, and other support units as well as managing relationships with key vendors. This role typically requires 10+ years experience in operations functions and a thorough working knowledge of the operational aspects, systems, and applications supporting transactions and products.
